Car Air Freshener RFQ: What to Include

A complete RFQ gets an accurate price in one round. Include the product, scents, branding, packaging, quantities per version, market and documents, delivery terms and attachments, and say clearly what is still open.
A good request for quotation (RFQ) gets you an accurate price in one round instead of five. For car fragrances, the price depends on many small choices: fill size, fragrance load, printing colors, packaging, carton marks, quantity per scent. If those choices are missing, a supplier either guesses (and you compare guesses) or asks a long list of questions (and you lose a week).
Below is what to include, section by section, and a copy-ready template at the end.
1. Product: what you know, and what you don't
For each line item, give:
- Format: paper card, vent clip, visor clip, hanging bottle, gel can, fiber can, dashboard perfume, membrane, ceramic or wooden diffuser, electric diffuser, spray, odor absorber.
- Reference: a supplier model number, a photo of a similar product, or a sketch. If you use a photo of another brand's product, say which features you like (size, clip type, construction) rather than asking for a copy.
- Size and fill: if known (for example bottle volume, can weight). If not, ask the supplier to propose standard sizes.
- Customization: stock product, logo on stock shape, custom shape, custom mold, custom scent.
It is fine to list unknowns. "Clip type open: standard vent clip or adjustable clip, please advise" lets the supplier quote options instead of guessing.
2. Scents
- Number of scents per item.
- Scent directions in your own words (for example "fresh aquatic", "black tea and fig", "warm vanilla wood"), or supplier scent codes if you have samples.
- Whether you need a custom scent developed.
- Any scent restrictions for your market or customers (for example "no strong sweet scents", or a fragrance-free option).
Avoid naming branded perfumes or other companies' scent names. See Cologne-Inspired Car Fragrances and Naming.
3. Branding and artwork
- Logo files available (vector or not).
- Printing: one side or two sides, number of colors, special finishes.
- Who designs the artwork: you, or the supplier from your brief.
- Text needed on product and packaging: languages, warnings, usage instructions, barcode.
See Artwork Files for Custom Car Air Fresheners.
4. Packaging
- Retail pack type: polybag with header card, blister card, window box, printed box, gift box, display box.
- Units per inner pack and per outer carton, if your warehouse or retailer specifies them.
- Carton marks, labels and any retailer-specific requirements.
See Car Air Freshener Packaging: Choosing a Structure.
5. Quantities
- First-order quantity per item and per scent.
- Expected reorder quantity and frequency, if known.
- Whether the quote should show price breaks at several quantities.
Quantities per scent matter as much as the total. 10,000 pieces in one scent is a different job from 10,000 pieces split across ten scents.
6. Market, channel and documents
- Destination country or countries.
- Sales channel: retail chain, online marketplace, promotional giveaway, car wash, distributor.
- Documents you or your customer require: SDS, fragrance conformity documents, test reports, battery documents, retailer forms.
The market decides labels and documents; the channel decides packaging and price expectations.
7. Delivery
- Required delivery date at your warehouse (not only "ASAP").
- Preferred delivery term (for example FOB China port or EXW) and your destination.
- Freight mode if known: sea, air, express.
- Whether you have a forwarder.
See Shipping Terms in a Car Fragrance Quotation.
8. Samples and attachments
- Whether you need stock samples first, custom samples, or both.
- Attachments: logo files, reference photos, artwork drafts, retailer specifications, label text.
What a supplier should send back
A useful quotation responds line by line and states:
- the specification it is based on (format, size, fill, materials, printing, packaging);
- unit price per quantity tier;
- one-time costs (plates, dies, molds, custom scent development, samples);
- carton data (units per carton, carton size and weight);
- delivery term, validity, payment terms;
- the samples and approval steps before production.
If anything you asked for is not in the quote, ask why before comparing. See Comparing Car Air Freshener Supplier Quotes.

FAQ
Can I send an RFQ before I have artwork?
Yes. Describe the printing (number of colors, one or two sides) and the supplier can quote. Final artwork is needed before pre-production samples.
How many line items can one RFQ include?
As many as you need. Mixed RFQs are common for distributors and retailers. Keep one row per item and scent combination.
Should I tell suppliers my target price?
It can help when you are flexible on specification, because the supplier can propose what fits that price. Say clearly which features are fixed and which are open.
